About this role
Position Summary
Reporting to the President of Emerson Practice Associates (EPA) and the Senior Vice President, this position provides high-level administrative, operational, and executive support to senior leadership. The role serves as a central point of coordination among executive leadership, hospital administration, physicians, staff, patients, and external partners. Responsibilities include executive calendar and communication management, meeting and some event coordination, Board and Committee support, leadership recruitment, inpatient service coordination, and patient access and intake support. The position requires strong organizational skills, discretion, professionalism, sound judgment, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Job Functions
- Provides comprehensive administrative support to the Senior Vice President and President of Emerson Practice Associates (EPA), including drafting correspondence, scheduling meetings, answering phones, managing calendars, and directing phone messages to the appropriate administrative staff.
- Provides support for inpatient service department
- Answers telephone calls and respond to inquiries in a professional, pleasant, and positive manner. Prepares clear, accurate, and timely messages and ensures effective communication with staff and leadership.
- Manage appointment inquiry line, triage new patient requests
- Coordinates interviews for leadership positions, including developing interview itineraries, coordinating evaluations, and arranging travel accommodations as needed.
- Plans and coordinates corporate functions and events for Emerson Practice Associates.
- Coordinates Board and Committee meetings, including preparing agendas, compiling meeting materials, coordinating logistics, and recording and distributing meeting minutes.
- Provides administrative support to the Senior Leadership Team, including scheduling meetings and answering phones as needed.
- Collaborate with other Executive Assistants within Administration to provide coordinated administrative support to the Senior Leadership Team.
- Processes check requests, capital requisitions, and other administrative or financial documentation as needed.
- Processes payroll for leaders reporting to the Senior Vice President and President of Emerson Practice Associates.
- Manages and maintains administrative office supplies and ensures adequate inventory is available.
- Exercises sound judgment and initiative in the absence of the Senior Vice President, taking authorized action on matters requiring attention and appropriately referring issues to the designated authority.
- Maintains and supports patients’ rights to care, privacy, dignity, and respect in accordance with hospital policies and applicable standards.
- Performs other duties and responsibilities as assigned.
Minimum Qualifications
- Education
BA/BS degree or comparable training and/or experience required.
- Experience
Minimum three years experience in an executive support capacity required.
- Licensure and/or Certification
None required
- Skills
- Excellent secretarial, administrative, interpersonal and communication skills.
- Ability to work independently and make decisions within designated authority.
- Knowledge of hospital structure and procedures.
- Excellent customer service skills.
- Must be able to read, write, and communicate in English.
- Typing at 55 wpm.
- Strong computer skills required (Word, Excel, Powerpoint, Outlook).
- Ability to maintain confidential information.
